PDF catalogs and AI answers: auditing reading, tables and versions
A catalog can look readable on screen and lose information when converted to text: a condition drifts away from its row, two columns become interleaved or a number keeps its value but loses its unit. If an AI answer repeats that information, checking only that it links to the PDF leaves the reading process unexamined.
This audit is for product and content teams publishing specifications, price lists or catalogs as PDFs. Its deliverable is a reading record: an identified file, a visual reference, extracted output when accessible and answer tests. The procedure proposed here does not certify accessibility or establish which documents an assistant used internally.
The brand-entity audit decides which product and facts are valid. Here we check whether the document preserves that information when read. A correct register is not enough if a table ends up assigning a condition to another variant.
Identify the file and edition
Keep the download URL, final URL after redirects, filename, access date and declared edition. Retain a copy only when permitted, and add an integrity hash if your process supports it. That hash identifies bytes; it does not establish publication date or the version an earlier answer could have consulted.
Distinguish the file's page number from the number printed in the catalog. A cover or appendix may cause them to differ. Record both when available, along with section heading and product. A reference stating only page five leaves avoidable ambiguity.
Declare which facts you will review and who can confirm them. Do not treat the PDF as the source of truth simply because it is easy to download. If its data conflicts with the approved catalog master, record the document conflict before assessing reading.
Identify the reading route, not just the format
Separate PDFs with digital text, scanned documents and mixed files. A scan may have an OCR layer, but selecting words in a viewer does not establish that the layer is accurate. Retain extraction tool, version and settings when you control them.
Also distinguish direct upload, retrieval of passages from an index and web search leading to a download page. These are different routes. OpenAI's file-input documentation, checked on October 12, 2026, states that PDFs submitted as input_file to vision-capable models include extracted text and page images. Do not generalize that behavior to every web search or retrieval tool.
When only the final answer is observable, internal extraction remains unknown. You can assess fidelity against the retained file, but cannot attribute a failure to OCR, the index or the model without evidence from that stage. Mark unobservable stages rather than filling them with a likely explanation.
Build a reference from the visible page
Review pages containing in-scope facts and the elements qualifying them. Include tables, repeated headings, notes, appendices and continuations on another page. A sample must state which pages it covers and excludes; do not call it a complete catalog audit.
For each fact, retain product or variant, attribute, value, unit, scope and condition. Add a visual locator and the text needed to interpret it. If a number cannot be read clearly enough, leave it pending; asking another system to complete it does not create an independent reference.
| Element | Reference that must accompany it |
|---|---|
| Cell value | Row, column heading and unit |
| Limit or range | Sign, endpoints and applicable condition |
| Price or tariff | Currency, charging basis and stated conditions |
| Footnote | Marker, text and cells it qualifies |
| Table continuation | Inherited headings and preceding page |
The reference can be a checking record rather than a public transcription of the entire document. Retain only necessary, permitted material. For internal catalogs, check who may receive files and extracts before uploading them to an external service.
Compare extracted text with visible order
Obtain output through the documented tool and retain it without silently correcting it. Review identity, numbers, signs, units and negations as well as order. Every word can be present while a linear reading joins the end of one column to the start of another.
W3C's PDF3 technique addresses logical order in tagged documents and warns about complex layouts. Its accessibility checks inform this structural review; they do not prove that a particular assistant follows the tags.
Record missing content, altered content and content associated with the wrong context separately. If a page is an image and the output contains no text, describe that observation. If you then use OCR, keep both outputs and the process version rather than treating the second as equivalent to original text.
Do not add separators, units or notes to reference output while still calling it literal extraction. A manual correction may help the next system, but it needs a derived version and an explicit relationship to the page supporting it.
Reconstruct tables without losing their conditions
A table requires relationships between cells. Check multilevel headings, grouped rows, merged cells, blanks and notes. Determine from the document what a blank cell means; do not automatically translate it into zero, unavailable or the same value as the row above.
W3C's PDF6 technique explains row, header and data structure in tagged tables. Checking it helps review relationships; passing that check does not guarantee an AI answer. Also retain visual verification of associations that affect a fact.
Work with a complete unit: product, attribute, value and conditions. A correct number under the wrong heading fails the fact-reading check. If the document does not resolve which note qualifies which cell, record ambiguity in the source and ask its owner to clarify before approving an interpretation.
For a calculated transformation, separate printed value, operation and result. An authorized unit conversion is not transcription. Keep the signs and precision supported by the document, without adding decimal places that imply greater accuracy than the source.
Test answers without confusing failure stages
Prepare questions about facts already included in the reference. Retain the exact question, supplied file or index, surface, observable configuration, date and answer. Start by retrieving one fact with its context, then assess a comparison requiring row associations or a condition.
| Available evidence | Conclusion you can record |
|---|---|
| Extracted output loses the unit | Verified failure in that extraction |
| Extraction preserves the fact, but a retrieved passage omits the note | Verified loss in that retrieval, if inspectable |
| Supplied context preserves the condition but the answer removes it | Discrepancy between context and answer |
| Only the final answer is available | Observed fidelity error; internal cause undetermined |
A correct answer does not establish that the whole document was read accurately. A refusal or execution failure is not a correctly interpreted fact either. Keep those states separate rather than counting them as successes or resolved semantic errors.
When an answer includes citations, the claim-and-passage support audit assesses another relationship: whether the cited passage supports the claim. It does not replace extraction review or reveal an invisible internal stage.
Separate incorrect reading from an incorrect edition
An answer may faithfully reproduce an old catalog. Retain declared edition, date and scope for each file; a similar name does not establish that two downloads are the same version. If the document does not state validity, that field remains unknown until its owner confirms it.
When you control publication, make the relationship between current edition and historical archive clear. Retain a replacement notice and access to the current reference without automatically erasing history. Keep download date separate from the data's effective date.
In a controlled test, record the exact edition supplied. In public observation, state which version you could verify and which you could not inspect. Do not conclude that an answer change proves an index update; another part of the route may have changed.
Repair the document and repeat the checks
Prioritize errors that change a decision: variant, compatibility, limit, price or condition. Typography can improve reading but does not resolve a missing unit. Assign the issue to document, extraction, retrieval or answer only with sufficient evidence.
If you can edit the source, correct the authoring file and review the exported PDF again. If producing derived text, document the transformation and retain the original. The guide to citable proprietary research covers publishing an evidence package; here the decision is whether reading preserves its information.
Repeat failed cases and those the same correction could affect. Editing a heading may change several rows or pages. Retain old and new results, distinguishing verified document repair from an observed change in an assistant. Correcting a PDF does not guarantee appearance or citation.
Report counts of planned, verifiable, correct, incorrect and pending facts. Declare answers not obtained separately. If showing accuracy among evaluable facts, accompany it with coverage of planned facts; silently excluding difficult cases makes the summary look better than the observations support.
Closure needs file and version, reviewed pages, tool, reference, discrepancy, owner and repeated test. You can retain this review alongside visibility monitoring in Mentio; it does not assume that Mentio extracts PDFs, performs OCR or certifies accessibility.
Frequently asked questions
Does every PDF catalog need OCR?
No. First check whether content contains digital text, scanned images or both. Use OCR when the route requires it and review its output against the page; a text layer does not establish accurate numbers and units.
Does a tagged PDF guarantee correct AI reading?
No. Tags support structure and logical-order review, but each route may process the file differently. Check visual relationships and the answer from the actual surface you intend to evaluate.
Does an incorrect answer prove extraction failed?
Not when extraction is unobservable. You can record a discrepancy against the retained document, but locating it in a stage requires evidence from that output, the retrieved passage or supplied context.
How do I check that the current edition was used?
In a controlled test, identify the supplied file and its edition. In a public answer, retain verifiable destinations and versions. If you cannot inspect the document used, do not claim to know its edition.
Should I replace the PDF with an HTML page?
Not necessarily. You can retain the PDF and offer approved information in HTML when useful. Synchronize conditions and versions; an additional page conflicting with the catalog creates another issue rather than resolving reading.
